The Division of Allergy is currently seeking a Patient Services Assistant to join its busy call center located at Domino's Farms. Primary focus is scheduling patient appointments using MiChart /Cadence. Responsibilities*
Exhibit courtesy, exemplary customer service and professionalism at all times with patients, families faculty and staff. Basic clerical tasks that require proper telephone technique, basic typing, computer and data entry skills. Maintain clinic schedules for busy physicians, this includes sche! duling patient appointments, tracking clinic closings, and res! cheduling clinics. Confirm, notify and remind patients of appointments and/or changes. Triage and schedule patient appointments into MiChart/Cadence in a timely and accurate manner. Work directly with physicians and nurses regarding patient concerns, issues and questions. Answer incoming phones. Maintain the Clerical MiChart In-Basket Box. Creating messages via MiChart for appropriate nurse teams for patient needs outside of the clinic visit; prescription refills, test results. Schedule diagnostic testing and ambulatory procedures for patients from physicians or nursing orders and inform them of necessary preparation in accordance with established guidelines. Request and obtain medical records from outside providers. Obtain managed care referrals and/or authorizations. Maintains and tabulates appointment data as needed
Prepare patient itinerary and all other appropriate correspondence for mailing. General Office duties, i.e. faxing, scanning (imaging documents), ma! il sorting and delivery. May be required to cross cover other areas. Candidate should expect cross training on all office duties and be able to assume different roles as needed. Required Qualifications*
Adheres to high standards of teamwork by demonstrating adaptability, flexibility and consistently shares information and resources with others. Documented history of excellent attendance and punctuality. Effective time management skills/consistently uses available time effectively. Excellent customer service skills and interpersonal and communication skills (e.g. ability to provide and receive constructive feedback, seeks constructive approaches to resolving workplace issues). Overtime may be required, with appropriate notice. Strong attention to detail. Works well with minimal supervision.
High School diploma or equivalent is necessary. Clerical experience is necessary, preferably in a medical setting. Candidate must be an active team player with the ability to! work independently; possess strong organization and prioritization ski! ll; ability to handle multiple responsibilities in a fast paced environment, and demonstrated problem solving skills. The selected individual must also have excellent attendance.
Individual must exhibit a professional and positive image when interacting with patients, faculty and staff. Must also adhere to a high standard of personal and professional conduct; possess excellent customer service, interpersonal, and communication skills; and demonstrated ability to interact with a diverse population. Desired Qualifications*
Basic medical terminology (may be tested). Previous cashiering or patient account representative experience. Prior Outlook, CareWeb and MiChart system experience. Previous experience in an ambulatory care clinical setting. Knowledge of University and Department of Internal Medicine policies and procedures. Work Schedule
40 hours per week, full-time. Monday through Friday, 8:00 a.m. to 5:00 p.m. Hours may vary based on call center nee! d. Mission Statement
