We are seeking an Assistant to join our collaborative Conference Services team. With events ranging from San Diego Comic Con, the American Library Association Annual Conference, and First Year Experience, each of which rotate between cities across the US, and international shows like the Frankfurt Book Fair and the London Book Fair, the Assistant would play an essential supporting role in ensuring event operations are managed and executed efficiently, cost-effectively, and with the goal of exceeding expectations for our internal and external customers.
While reporting to the VP, Conference Services & Travel, the Assistant also partners with team members for pre-show, on-site, and post-show tasks for events.
To find success in this position, candidates must demonstrate effective time management, an eye for detail, the ability to juggle multiple projects with concurrent deadlines, and the ability to communicate clearly and proactively with both internal and external partners. The Assistant must be able to take the initiative to quickly identify and adapt to challenges and the ability to find answers and create solutions.
Responsibilities

- Partner with other team members to provide support with pre-show planning and onsite, as needed, execution of PRH trade show, conference, and book fair participation
- Assist with coordination of housing requirements and food & beverage menu creation/orders
- Research and recommend new vendors
- Collect, track, and manage meeting room requirements
- Assist with final hotel and vendor billing reconciliation and auditing post-event and for author tours
- Take part in maintaining team’s overall systems organization
Qualifications
- Well-versed in all Microsoft platforms, including Word, Excel, and PowerPoint
- Ability to travel as needed
The salary for this position is $48,000. All positions are currently eligible for annual profit award or bonus, subject to Company results.
